How to Add Signature in Outlook

In new Outlook or Outlook on the web, open Settings, Accounts, Signatures. In classic Outlook for Windows, open File, Options, Mail, Signatures.

Steps

  1. Create and copy your signature with the free maker on this site.
  2. Open Outlook signature settings for your version.
  3. Create a new signature, paste it, and choose defaults for new messages and replies.
  4. Send yourself a test and check desktop and mobile layout.

Worked example

Example: use a compact signature for replies and a full signature for new messages so long threads stay readable.

Questions

Why does my Outlook signature look different?

Outlook can adjust fonts and spacing. Use simple tables and inline styles, then test-send.

Can Outlook mobile use the desktop signature?

Mobile apps have separate signature settings and may support simpler text formatting.

Should I include my email address?

It is optional because recipients already have it; a phone number and website are often more useful.
